Getting started
Setting up your workspace
The first time you open the app, a four-step setup asks how you’ll use Senior Care Intel (Acquisitions, Investing, Services and business development, or Operations), what you sell or want to acquire, your territory and facility types, and your goals. Every step can be skipped. Change the answers any time from My workspace. Your dashboard, suggested contacts, saved searches and alerts follow them. Senior Care Intel covers CMS-certified skilled nursing facilities in every state, plus assisted living and memory care from the New York and Pennsylvania state licence lists. More states are added regularly.
Signing in
Use the email and password for your account on the sign-in page. If you were sent a one-time link, open it to choose your password first. Sessions stay signed in on that device until you sign out.
Getting access
Use Start free trial to create an account. Your 7-day free trial starts right away: instant access, no card needed. Trials are view only and end automatically after 7 days.
Finding your way around
The side bar groups the app: Best opportunities, Overview, Homes, Owner groups and Map first, then Pipeline (Deals, Follow-ups, Recent calls, Tasks), Market (What changed, Deal news, Listed for sale, Sale comps, Failing homes) and More tools. On a phone the same pages are under More.
Light and dark theme
Choose the theme in Settings, or with the theme button on public pages. The choice is kept on your device.
Search
Searching and filtering homes
Open Homes to search by name, city, owner or group, and filter by state, county, beds, rating, ownership and more. Columns can be chosen, sorted and exported.
The seller score
Each home has a seller score from 0 to 100 with the factors behind it, so you can see why a home ranks where it does. The seller score, the likely-to-sell list and value estimates are included on plans With Likely to Sell.
Saved searches and watched homes
Save a search from Homes, or watch a home. New matches are counted in the app.
Exporting lists
Use the Excel or CSV buttons at the top of a list. Exports include the columns you see. Downloads are included on the 5 States plan and up, within the plan’s monthly row limit; emails and phones are included in files on the 25 States plan (up to 500 rows a month) and the National plan (up to 1,000 rows a month).
Home profiles
Reading a home profile
A profile shows identity, beds, ownership and operator entries, CMS ratings, staffing, inspections and citations, penalties, cost-report financials with benchmarks, nearby homes and sale comps.
Estimates
Figures Senior Care Intel derives, such as the estimated value range, EBITDAR and the next inspection date, are labelled estimate. The estimated value is not an appraisal.
Not reported and Not rated
Not reported means the source file left the field empty. Not rated means CMS did not publish a rating. Senior Care Intel never fills these with a guess.
The one-home report and deal sheet
Use Report or Deal sheet on a home for a printable summary. Your own notes are included only when you tick “Include my notes”.
Contacts
Who to contact for your goal
Each home’s page lists the roles worth investigating for your services or workspace, then the people on file who fit, best match first. Each person shows why they were suggested, the source, when it was checked and whether two sources agree. Senior Care Intel never marks anyone a confirmed decision-maker unless a source documents it. Owners don’t usually choose service vendors, and a director of nursing’s influence isn’t budget authority, so confirm before outreach.
Contact verification
Each contact shows its source and a status: confirmed by two sources, single source, or conflicting sources. A working phone number does not prove someone still holds the role or can sign a contract.
Facility lines
A home’s main number from CMS is shown as the facility line, not as a person’s direct line.
Your work
Organizations and roles
Every account has its own organization. Owners and Admins can add people by email from Organization in the app. Owners manage everything, including other Owners and Admins. Admins manage Members, Viewers and every shared item. Members save and edit their own shared items. Viewers read. The server checks these rules on every change. Saved searches, alerts and saved opportunities (with their notes and tasks) are shared inside the organization; your Homes filters, lists and settings stay private. Invitations aren’t sent by email: someone without an account joins the first time they sign in with that email.
Logging calls and follow-ups
Log a call from a home or from Call mode, and set a follow-up date. Follow-ups show on your dashboard and in Follow-ups.
Saving an opportunity and following up
On a home’s page, under “Who to contact”, choose “Save opportunity with …” next to a person, or “Save as opportunity”. Give it a stage, an owner, a next step and a due date. Open it from Opportunities in the side bar to add notes and tasks, change the stage or owner, or record that your team confirmed the contact’s role. Until then the contact stays a suggested starting contact. Next steps and tasks that are due show under “Opportunity follow-ups” on the dashboard and on My workspace. Viewers can read opportunities; Members change the ones they created or own, and tasks assigned to them; Owners and Admins change all of them. Deleting an opportunity keeps its notes and tasks.
Buyer tools: financials, valuation, financing and the deal report
On a saved opportunity, open the buyer workspace. Financials: upload a seller’s P&L, rent roll or census as CSV or Excel (.xlsx), up to 10 MB. Senior Care Intel reads it into a trailing-12 view: revenue by payer, expenses by category, EBITDAR, EBITDA and occupancy, and shows every line it read so you can change how a line is counted. PDFs are stored as documents; their figures are not read. Documents are private to your organization, have no public link, and are marked private by default.
Valuation uses the uploaded figures when there are any, otherwise the CMS cost report, and shows three methods: cap rate, price per bed and EBITDA multiple. Every input shows where it came from: who uploaded it and when, the CMS fiscal year, or “Assumption”. Financing models loan amount, rate, term, amortization, an interest-only period, DSCR, debt yield, loan-to-value, equity needed and cash-on-cash. The bank, HUD 232 and bridge presets are editable assumptions, not quotes from any lender.
The deal report gathers the home’s facts, ownership, inspections, financials, valuation, financing, contacts with their checks, tasks and shared notes (private notes are left out). Print it or save it as a PDF from your browser. Its link opens only for signed-in members of your organization. Viewers can read all of this; Members change the opportunities they created or own; Admins and Owners change everything.
Deals
Move a home through the deal stages from Lead to Closed and add price, offer and closing dates. Each date can be added to your calendar as a file.
Who can see your work
Your calls, notes, deals, lists and follow-ups are private to your account and never visible to other customers. Shared research such as homes, owners and contacts is the same for every subscriber.
Keeping notes free of patient data
Notes are for business development. Do not enter resident or patient information.
